Tuesday, August 16. 4:00-6:30m
- Check-In/Registration- Check-in patrons as they arrive. Detail-oriented people are needed to confirm any details they may need for auction night.
- Raffle Sales- During the reception and silent auction, raffle tickets are sold to guests. Winner will be announced prior to the live auction.
- Silent Auction- Overlook the silent auction tables prior to each closing. Field patron questions. Ensure that no bids are placed after each silent closes. After the close, take bid sheets to the computer area for data entry.
Tuesday, August 16, 6:30-end of auction
- Spotters- For the live auction, spot bidders for the auctioneer. Assist Live Auction Runners in finding the winning bidder. This job is for the outgoing volunteer.
- Recorders- For the live auction, recorders will document bidder number and winning price in the auction log and prepare the bid sheets for the runners. The recorder will also keep a running tally of the live dollar amounts for the auctioneer’s needs. Recorders must be very detail-oriented.
- Floaters - Floaters are used in any area that needs additional assistance.
- Item Pick Up - After live auction has begun, closed silent items will be removed from the silent item tables and taken to Item Pick Up for organization and pack up. Take down and pack up display décor and promotional materials. Some Silent auction people will also be asked to close centerpiece auction and super silent auction, pack up and move items to Item Pick Up
